They perform complex medical tasks, manage medications, provide transportation, and offer the emotional support that is so crucial to well-being.</p>



<h4 class="wp-block-heading">A System Under Strain</h4>



<p>While the dedication of these unpaid caregivers is immense, the system is showing signs of strain. The demand for caregivers is projected to &#8220;skyrocket&#8221; in the coming years, a direct result of the aging population. <p>When you lead a support coordination organization, growth is both a privilege and a responsibility.&nbsp;</p>



<p>Every new individual we serve means another family trusting us with some of the most important decisions of their lives. At the same time, every new regulation, audit requirement, and documentation mandate adds layers of complexity that can pull agencies away from the very reason they got into this field.&nbsp;</p>



<p>From the beginning, when I founded Disability Services and Advocacy (DSA), our purpose was simple: people and families should not only receive services but should also understand them. They should feel informed, supported, and confident about their choices. Clarity, to me, has always been a form of dignity.&nbsp;</p>



<p>As DSA grew into one of the larger support coordination agencies in New Jersey, that belief was tested.&nbsp;</p>



<p>With more people in need, our caseloads continued to increase. State and Medicaid requirements became more detailed and more complex. Documentation shifted from narrative notes to highly structured, audit-driven systems. Our coordinators were still deeply committed, but I could see how much of their time and energy was being pulled into managing forms, systems, and compliance checks rather than being fully present with people and families.&nbsp;</p>



<p>This is when I&nbsp;began to notice&nbsp;the shift. From conversation &amp; relationship building to administrative paperwork. From understanding individual needs to completing a process in the care manual. The question that stuck with me the most was, How do we continue to grow, meet every regulatory requirement, and still make sure that the people we support&nbsp;truly understand&nbsp;their care and feel supported by the system around them?&nbsp;&nbsp;</p>

<h2 class="wp-block-heading"><strong>The Turning Point</strong>&nbsp;</h2>



<p>By 2023, it was clear that we at DSA needed&nbsp;more than&nbsp;a&nbsp;software. We needed a system that could hold the full complexity of support coordination including DDD rules, Medicaid logic, monitoring tools, billing, and audits without turning our work into a mechanical exercise.&nbsp;&nbsp;</p>



<p>And&nbsp;that’s&nbsp;when we began working with&nbsp;FieldWorker.ai.&nbsp;</p>



<p>Speaking from&nbsp;previous&nbsp;experiences, FieldWorker.ai stood out&nbsp;immediately&nbsp;because of how well aligned the platform is with our agency.&nbsp;&nbsp;</p>

<p>Adopting FieldWorker.ai we noticed that our documentation became more consistent. Claim and even reporting errors reduced by more than 60%. Audits became less stressful because everything we did on the platform was compliance checked. Billing became more&nbsp;accurate&nbsp;and predictable with these upgrades.&nbsp;&nbsp;</p>



<p>From a leadership perspective, this meant we had to manage fewer last-minute requests and have more space to think about the future of DSA, and care.&nbsp;</p>

<p>Lastly, the individuals and families we served praised the clarity we got to them through our services. Information shared was more&nbsp;timely, more&nbsp;accurate, and easier to follow. Conversations could now focus on goals, transitions, and individual choices rather than on fixing documentation gaps.&nbsp;&nbsp;</p>



<p>The system supported continuity, and continuity helped DSA build trust.</p>

<p>When I think of a coordinator preparing a complex review involving multiple services and a family facing an important transition. In the past, so much of that preparation would have been consumed by reconciling forms and double-checking compliance.&nbsp;&nbsp;</p>



<p>Today, the structure is already there. All the coordinator needs to do is focus on the actual conversation, and make sure the family understands what is happening and feels supported in what comes next. That, to me, is the real impact this collaboration has made.&nbsp;</p>



<p>When I reflect on our journey with FieldWorker.ai, I think of how well aligned the platform is with DSA, and its people. All we wanted was a system, an infrastructure that would balance compassion with compliance, accommodate growth while also preserving trust.&nbsp;</p>

State programs that invest in people, listen to their&nbsp;needs&nbsp;and encourage change,&nbsp;withstand&nbsp;the impact of systematic changes.&nbsp;&nbsp;</p>



<p>Every time lawmakers treat Medicaid or HCBS as “discretionary” spending, they are making a choice about whether a veteran sleeps in his own bed. Whether&nbsp;a grandmother raising her grandson with Down syndrome gets eight hours of sleep this week.&nbsp;</p>



<p>Human support professionals are looking for the bare minimum to support families, keep them together,&nbsp;help individuals with disabilities feel safe, included, and supported.</p>



<p>Funding cuts&nbsp;in reality are&nbsp;monetary adjustments, but they also reflect the line of hope&nbsp;that millions of families in America&nbsp;depend on&nbsp;today.&nbsp;&nbsp;</p>

<p>My mother always told me, “It’s never too late to fall, learn and get back up again”. I’ve held onto that line like a thread through all the seasons of my life. Whether I’m working double shifts or heading to my weekend classes after a long week of caregiving, those words remind me why I keep moving. Maybe that’s why I chose this path in the first place, to help others get back up, no matter what.&nbsp;</p>



<p>I’ve been in this job for about four years now. Talking, walking, and laughing with clients from every walk of life still excites me. But seven months ago, this wasn’t the way my story panned out.&nbsp;&nbsp;</p>



<p>It was when half of our agency’s caregivers decided to leave or switch to jobs that were easier or more flexible. Because of that, the rest of us were short-staffed, and all of us were covering more clients than usual. The weekends I spent learning new things often slipped away, and rest became a luxury I rarely allowed myself.&nbsp;</p>

<p>And that’s when our facility introduced software for aging care service. At first, I thought it was just another system I’d have to learn. But I quickly realized it was the kind of support I didn’t know I needed.&nbsp;</p>



<p>Instead of searching through folders to find the latest care plan, I can see everything updated in real-time. The software organized all of my schedules, medication updates, and case notes all in one HIPAA-compliant system. Slowly, my day started to feel more manageable. <p>One of my favorite memories recently was when one of my clients at an assisted living facility in New Jersey told me how she continued with her daily stretches even when I couldn’t match up to our pact. We have a pact: every time she does her daily stretches, either she or I will share a fond memory of ours. Knowing that she remembered our little ritual made me feel deeply connected and proud. </p>



<p>Since we started using the software for ageing care services, I’ve noticed a shift in our team dynamics too. We collaborate more smoothly, share updates faster, and support each other better. Our agency director tells us that our team has become about 30% more efficient than before, motivating us to keep going.&nbsp;</p>

<p>I turned 90 this year. That number still surprises me sometimes, but here I am. I live in an assisted living facility in New Jersey, where I am well fed, looked after, and cared for. Although I like to look after myself and my needs, my children wanted me to be here, so I could feel safe and pampered. And for the most part, I am.&nbsp;</p>



<p>Every morning is the same. I sleep by the bed close to the window and so wake up with the morning sunrise and the soft humming of my caregiver as she comes in with my morning medicine. At this age, I move a little slower now. Though I still want to do things on my own, I find myself depending on her more often than I want to admit. Getting aging care support has been good, and the people here are kind. But I still find myself worrying.&nbsp;</p>



<p>For nearly two years, my days have blended into a routine of monotony &#8211; wake up, medicine, meals, quiet time, more medicine, then bed. It is steady, but it all feels the same. Life shrinks when it’s only measured in pills and appointments.&nbsp;</p>

<p>But when my caregiver comes in, my day feels brighter and I, charged with energy. We have a little pact, playful and small, but it fills me with joy. Every morning after stretches, we tell each other a funny memory, one from her childhood or mine. I love how she listens and laughs with me. It makes me feel connected, alive, and a little like a child again.&nbsp;</p>



<p>Lately, though, she has been looking after more people like me. Even on days when she does have a few extra minutes, those moments often disappear into piles of papers and scheduling calls. I see her exhaustion, and I worry. I wish there were a way to help her keep track of everything, so she could spend more time with me and the others who need her. Sometimes my medication instructions change, and they don’t reach her in time. I understand that she is caring for so many people that she barely has time to breathe, let alone share a laugh with me.&nbsp;</p>



<p>And this is where I feel the gap. As an elderly woman, I don’t just need food on the table and pills on time, although I’m grateful for both. I need more human connection, more human presence. I need moments where someone holds my hand without rushing, where my stretches are a shared laugh instead of a task I do by myself.&nbsp;</p>

<p>I’ve heard the staff talk about “software for aging care support.” I don’t know much about computers, but from what they were talking about it seemed like it could help her. It seemed like it might even help me by reminding her about my appointments, keeping my medicines on schedule, and letting her have those few extra moments to laugh with me!&nbsp;</p>



<p>Sounded like that time when my son showed me how to make a video call on my smartphone, and I was instantly able to see his face and hear his laugh, even though he was miles away. I’ve come to realize that life is about those conversations, those shared moments, and the little joys that make a day worth living. And with the supportive environment, there will always be space for connection and time for being heard and seen as you are.&nbsp;&nbsp;</p>
